Terms and Conditions

Please check the details carefully. North Staffs Conferences cannot be held responsible for errors in bookings that are not drawn to our attention immediately upon receipt of a booking form. If your requirements change, please let us know as soon as possible. Whilst we cannot guarantee that we will be able to accommodate all changes, our staff will do their utmost to help.

Conference rooms are available for hire between 8:30 am and 10:30 pm, Monday to Friday (bank-holidays, Saturday & Sunday opening on request).

Unless agreed otherwise all invoices for room Bookings and Equipment Hire MUST be settled within 30 working days of the invoice date. An invoice will be issued on the day of the meeting or on the first working day following.

Pharmaceutical companies holding meetings at North Staffs Conferences will be charged the applicable room tarrif only; additional exhibiting companies will be charged £55.00 + vat facilities fee.

Pharmaceutical Companies sponsoring meetings and displaying literature, exhibition stands or advertising in any way will also be charged £55.00 + VAT facilities fee.

North Staffs Conferences reserve the right to recover the cost of any special arrangements that are needed for cleaning, damage or repair after a meeting.

Audio-Visual Equipment

Please Note: Normally audio-visual equipment supplied by North Staffs Conferences may be used. By arrangement an administration charge will be levied on all equipment brought into the Conference Centre (excluding personal laptop computers).

If alterations to room set-up are made during the meeting users must return the furniture to its original position. Failure to do so will result in North Staffs Conferences levying additional charges to the user.

North Staffs Conferences cannot be held responsible for personal property of guests within the centre.

North Staffs Conferences cannot be held responsible for theft or damage to cars whilst parked on the car park.

All guests should make themselves aware of the Fire Regulations.

To comply with Fire Regulations numbers must not exceed the number stated for the occupancy of the hired room. All gangways must be kept clear throughout the meeting.

All fire doors to be kept closed at all times.

Catering Arrangements should be made with the catering manager on 01782 554200 and accounts settled in full on the day. Any cancellations or alteration to numbers must be given to the catering manager at least one week prior to the function. Otherwise a full charge will be levied.

Only catering purchased at the Conference Centre is allowed on the premises. Under no circumstances will personal catering be allowed on the premises.

CANCELLATION POLICY

  • Meetings cancelled 3 months prior to scheduled date: NO CHARGE
  • Meetings cancelled between 2 & 3 months prior to scheduled date: 50% CHARGE
  • Meetings cancelled between 1 & 2 months prior to scheduled date: 75% CHARGE
  • Meetings cancelled between less than 4 weeks prior to date: 100% CHARGE
